Automation

Automate the routine. Stay in control of the exceptions.

Every hour, Holuway runs the same rules for every lease: rent charged ahead, reminders before it is due, autopay with a retry, late fees after the grace period, and a notice at every step of a repair. Approving people, signing and assigning work stay with you.

Leases in Holuway: each lease with its tenants, home, dates, rent, signing state and its signed PDF.

Rules that run today

What happens without anyone pressing a button.

Each rule says when it runs, what it does and who hears about it. They run every hour, are safe to run twice, and an email that fails to send is tried again.

Rent and payments

  • Rent charged ahead

    When
Two weeks before each rent due date
    What happens
Adds the period's rent to the lease ledger, in the property's time zone
    Who hears
The resident sees it in the portal as coming due
  • Rent reminder

    When
Three days before the due date, while the rent is unpaid
    What happens
Emails the amount and due date with a link to pay, or says autopay will take it
    Who hears
    The resident
  • Autopay with one retry

    When
On the due date, for residents who turned autopay on
    What happens
Pays what is due from the saved bank account or card. A failed payment is tried again once, three days later
    Who hears
The resident and you, when a payment succeeds or fails
  • Late fee after the grace period

    When
Rent still unpaid when the grace days you set have passed
    What happens
Adds one late fee to that rent charge, by the lease's rule
    Who hears
The resident and you, each with the new balance

Leases

  • Signing reminders

    When
Two and five days after a lease goes out, for each tenant who has not signed
    What happens
Sends a fresh signing link and retires the old one. An unsigned package expires after a week
    Who hears
Each tenant who still has to sign
  • Lease end reminders

    When
Sixty and thirty days before the lease ends
    What happens
Reminds both sides of the end date and the notice period, so a renewal or move-out is planned
    Who hears
    The tenant and you
  • End of term

    When
    When the move-out date passes
    What happens
Ends the lease, frees the home, stops autopay and sets the date the deposit is due back. A fixed term that ran out with no renewal or notice is flagged once
    Who hears
You, and the tenant when the lease ends

Leasing

  • Application received

    When
    When someone submits an application
    What happens
Confirms it with a link to its status page, and the fee to pay when there is one
    Who hears
The applicant, and you with a new application to review
  • Decision email

    When
    When you approve or decline
    What happens
Tells the applicant your decision, with a link to the status page
    Who hears
    The applicant
  • Tour reminder

    When
The day before a confirmed tour
    What happens
Reminds both sides of the time and the home
    Who hears
    The renter and you

Maintenance

  • Priority from the category

    When
When a resident reports a repair
    What happens
Sets the priority from the category: a water leak, no heat, a gas smell, a lockout or a safety issue is an emergency; electrical, heating and cooling, locks and structural are urgent. You can change it, and the change is recorded
    Who hears
You, with emergencies flagged in the subject line
  • Repair notices

    When
At each step: received, a question, a visit set, work reported done, closed, reopened
    What happens
Emails the person who needs to know next, with a link to the request
    Who hears
The resident, your team or the vendor
  • Vendor link that expires

    When
When you assign a repair to a vendor
    What happens
Sends a secure link to that one job. It stops working after thirty days or when the job ends
    Who hears
The vendor, and you when they accept, decline or report the work done

Two rules in motion

A month of rent, and a repair, from start to finish.

Who acts at each step: Holuway runs the rule, people make the calls.

A month of rent

  1. Holuway

    Rent is charged

Two weeks ahead, the period's rent appears in the ledger and the portal.

  2. Holuway

    The resident is reminded

Three days before the due date, with a link to pay.

  3. Resident

    Rent is paid

By bank or card, or by autopay on the due date, with one retry if it fails.

  4. Holuway

A late fee, only by your rule

If rent is still unpaid after the grace days, one late fee and a notice to both sides.

  5. You · Decision

    You handle the exception

Talk to the resident, record a check or waive the fee. The ledger keeps every step.

A repair

  1. Resident

    A repair is reported

From the portal, with photos and a category.

  2. Holuway

    Priority is set

From the category, with emergencies flagged to you at once.

  3. You · Decision

    You assign it

To someone on your team, or to a vendor by a secure link.

  4. Vendor

    The work is done

The vendor proposes a visit and reports the work, from a phone.

  5. You · Decision

    You review and close

The resident is told at each step and can reopen it if it is not fixed.

People decide

The rules do the routine. The decisions stay yours.

Holuway never makes a call that belongs to a person. It brings the decision to the right person with what they need to make it, and records who made it.

  • Approve or decline applicants

You compare complete applications and decide. Holuway never accepts or rejects anyone for you.

  • Countersign the lease

Every tenant signs first, then you countersign. Nothing is signed in your name.

  • Assign the work

You choose who does a repair: someone on your team or a vendor. Holuway sends the job, not the choice.

  • Approve costs and close repairs

A vendor's cost waits for your approval, and work reported done waits for you to review and close it.

  • Change what is owed

Waiving a fee or recording a payment is yours to do, and a mistake is voided with a record, never edited away.

What automation does not do today

Holuway says what its rules do and nothing more:

  • Notices are emails; there are no text messages or push notifications to residents yet
  • The rules are Holuway's; you tune them with lease terms and property settings, but cannot write new ones yet
  • No rule decides on a person, a signature or a repair

Questions, answered

Do I have to set these rules up?

Mostly no. They run for every active lease from the day it starts. You choose the rent due day, the grace period and the late fee rule in each lease's payment terms, and residents choose whether to use autopay.

Can a resident turn off the emails?

Residents can turn off optional emails such as rent reminders from their settings. Notices that matter to the tenancy, such as a late fee or a lease ending, are always sent.

Does anything happen by text message?

Not today. Every notice is an email, and the resident portal shows the same information when they sign in.

Can I write my own rules?

Not yet. Holuway runs a fixed set of rules that you tune with each lease's terms and each property's settings. If you need a rule that is not here, tell us.

Does Holuway ever approve an applicant or close a repair for me?

No. Holuway never approves or declines an applicant, never signs for you and never closes a repair. It tells you when something needs a decision, and it records who decided.
